FileHold Training Curriculum

FileHold training is highly recommended for all implementations. Trained employees will be able to fully exploit the many productivity gains of FileHold features to help your business run better, reduce paper, and streamline processes. Trained employees are engaged, and confident, and contribute to a higher adoption rate of the software.

All training is done remotely through online meetings and desktop-sharing software that enables the trainer to meet with your employees via the Internet in real-time. Training is done on your installation of FileHold DMS so the trainer can assist in configuring the system as the training proceeds.

At FileHold, we pride ourselves on customer service. The training outlined below will greatly assist you in learning the many features of FileHold. Once training is completed, we will plan follow-up sessions to ensure that we have done our job well and that you are able to maximize the many features of our system to realize your investment in the software.

The curriculum includes a standard set of training called the “FileHold Fundamentals” program.

FileHold Fundamentals (approximately 6 hours)

Session 1 - Users, Groups, and System Configuration

  1. Creating accounts and users
  2. Creating groups and assigning roles
  3. Essential configuration settings

Session 2 - Document schema, metadata, & events

  1. Creating custom schema
  2. The different types of metadata
  3. Creating events
  4. Applying events and metadata to schema
  5. Configuring schema

Session 3 - Library Set-up (1 hr)

  1. Creating cabinets, drawers, folder groups, and folders
  2. Applying security to cabinets and folders

Session 4 - Adding documents & records

  1. Adding documents to FileHold using the inbox
  2. Adding multiple documents to the FDA
  3. Using Watched Folders
  4. Setting up Extraction rules
  5. MS Office integration
  6. Archiving documents

Session 5 - Using Documents in FileHold

  1. Viewing documents in Folders -
  2. Checking documents out, Version control and history
  3. Linking documents
  4. Alerts & Reminders
  5. Working documents
  6. Creating custom views
  7. Tour of the FDA: My FileHold, Virtual Folders & Document tray

Session 6 - Search (1 hr)

  1. Basic & Advanced Search
  2. Saved personal and public searches
  3. Empty and quick searches
  4. The search bar
  5. FastFind (if purchased)

End-User training (time TBD based on organizational needs, plus 1/2 hour consultation)

FileHold offers a “train-the-trainer” approach typically to present the options in the software, which each organization can tailor to meet specific needs and processes. If you would like us to train your team directly, we offer end-user training with your processes in focus. End-user training is suggested after completing the Fundamentals program. The agenda for your sessions depends on the specific needs of your organization. To ensure these sessions are maximized for your benefit, FileHold recommends a ½ hour consultation to review the specific agenda and focus for the training.

Workflow (approximately 1 – 1.5 hours)

  3. Adding workflow templates to schemas
  4. Initiating a workflow
  5. Reviewing and approving documents in a workflow
  6. Workflow status report
  7. Advanced search – approval, review status, and dates

Scanning (approximately 1-1.5 hours)

Scanning training will be tailored to the type of scanning and the software being used. See the following article on how to scan documents into FileHold.

Courier (approximately 1 hour)

  1. Licensing Courier
  2. Enabling Courier
  3. Creating templates
  4. Applying templates to schemas
  5. Initiating transmissions
  6. Using the Courier portal
  7. Customizing the Courier portal

Advanced FileHold viewer use (approximately 1 hour)

  1. Document mark-up and annotations
  2. Document assembly
  3. Introduction to merge tags
  4. Watermarks

Other training packages

FileHold refresher training (4 hours)

Designed for organizations with new team members or where a brush-up on using FileHold would be beneficial, the Refresher training package reviews all the basics of the FileHold Fundamentals program in a system where the set-up and Library is mature. Core concepts include the FileHold Library structure, document schema and metadata, search, and ways to add content. Emphasis will be placed on the organization’s operational practices with FileHold, and best practice advice can be offered on request.
