Searching and viewing documents in Mobile FileHold
From the search screen, you can:
- Perform a simple search
- Run a saved search using a My Saved Search or a Public Saved Search
My Saved Searches and Public Saved Searches can be either saved advanced searches, empty searches, or quick searches. For saved advanced searches, you do not have the option to enter or modify any search values; the search is run on what was saved in the template. The advanced search template cannot be modified in Mobile FileHold.
However, quick searches are useful for conducting searches in Mobile FileHold. When a user runs a quick search, they are required to enter the search term for the empty variable that was set up in the template. The search results that are returned meet the advanced search terms plus the quick search term the user entered. For empty searches, fill in all the required values for search parameters.
To perform a simple search (full text search)
- From the home screen, tap Search .
- Enter a search term in the field and tap Search . The search results appear in the Search Results screen.
To perform a saved search (personal or public)
- From the Home screen, tap Search .
- From the search screen, tap My Saved Searches or Public Saved Searches .
- Tap the name of the search you want to run. The search results appear in the Search Results screen.
To perform a quick search (personal or public)
- From the Home screen, tap Search .
- Tap My Saved Searches or Public Saved Searches .
- Tap the name of the quick search you want to run.
- Enter the search term and tap Search. The search results appear in the Search Results screen.
To perform an empty saved search (personal or public)
- From the Home screen, tap Search .
- Tap My Saved Searches or Public Saved Searches .
- Tap the name of the empty saved search you want to run.
- Fill in the search values and tap Search. The search results appear in the Search Results screen.
Viewing metadata and version properties of search results
Once the search results are displayed, you can view the metadata and version properties for all of the displayed documents.
To view metadata and version properties
- From the Search Results screen, tap a document name. The Metadata and Version Properties screen opens.
- To view more metadata and version property information on the screen, flick down (if applicable).
- To browse through the metadata and version properties for the documents in the search results, tap Next Document or Previous Document .
Viewing documents
Documents can be viewed using the associated viewer on your device from the Metadata and Version Properties screen.
To view a document
- From the search results screen, tap a document name. The metadata properties screen opens.
- To view the document, tap Get Copy . The document will open in the associated default application for your device.
Initiating a workflow
Workflows can be kicked off on a single document from the Metadata Version Properties screen. Initiating a workflow can be done by anyone with Document Publisher or higher permissions.
Note that a workflow template cannot be modified in Mobile FileHold; therefore, an ad-hoc template cannot be used. The templates associated with the document schema will need to be defined (not ad-hoc) with reviewers, approvers, due dates, etc. The template must not have any sections of the template marked as "Allow Initiator to Define" or it cannot be initiated.
To initiate a workflow
- From the search results screen, tap a document name. The metadata properties screen opens.
- To start the workflow for the selected document, tap Initiate Workflow .
- Tap the workflow template name to use. Note that a workflow template cannot be edited or modified.
- The “Workflow successfully initiated…” message appears. Tap OK to return to the Search Results screen.
