Watermarks overview: explict and automatic

Watermarks can be applied to documents through the explicit action of a user or automatically by configuration.

The explict action method is useful when a document need to have a watermark visible outside of FileHold, or available to users that do not have a level 2 FileHold viewer license. This type of watermarking is performed using the Assemble feature and these watermarks can be applied by any user with a level 2 FileHold viewer license. These watermarks can be designed on-the-fly by the user creating them. While the user can watermark multiple documents at one time using this method, the watermarking must be performed in advance.

Automatic watermarks can only be configured by a library administator or higher, first by creating from one to three watermark templates, then by applying from one to three watermark templates to a document schema. By applying the watermark configuration to the document schema, the watermarks can be generated automatically when a document is viewed by a user with a level 2 FileHold viewer. This means that as soon as a document is added to FileHold with the configured schema, any user that views the document will see the watermark.

Users with level 3 FileHold viewers have the same ability to view automatic watermarks or to generate watermarks with Assemble as a user with a level 2 FileHold viewer.

Level 1 FileHold viewers are the default viewer included with each registered user license. There is still a chance to add automatic content to documents for these users by integrating merge tags with custom Office properties. This technique does require advance preparation in the original document design.
