Matter Centric Filing -"Auto-Tagging" Documents

FileHold document management software allows users to automatically add searchable metadata or “tags” to documents that are associated with the same subject matter. Auto-tagging improves user productivity to an even greater degree.

This feature is often called “Matter Centric" filing in the legal industry. All client/matter information such as documents, time and billing details, email, relevant knowledge artifacts, news and other external information about the client or matter are linked by common metadata. The benefits of using matter centric filing includes centralized, searchable electronic matter files. This makes one's job easier by being able to find all related documents in one place. It also mitigates risk associated with decentralized matter information. All client documents and email are with the matter file tagged with the same information.

Auto-Tagging

It has always been easy for users to add documents to the repository for secure records management. The software allows users to automatically add searchable metadata or “tags” to documents that are associated with the same subject matter. A system user simply drags a document from their Microsoft Office application into the “auto tagging” folder and all the tagging is done automatically based on the tag settings of that folder. Once in the folder the document is fully indexed to make the document easily found by either a metadata or full text search.

Permission to use auto tagging is based on the user and is configurable. For example, some users will want to manually create or confirm metadata fields for all documents and others will set the fields one time and then use the auto tagging feature every time after.
