Install FileHold in the Cloud

FileHold Document Management Software in the Cloud

FileHold software performs equally as well when installed and hosted in the cloud or on a secure private virtual or hardware server on premise.  A Cloud or hosted solution is attractive to many organizations who lack internal IT resources or to those who want a user based monthly payment with the option to cancel at any time.

FileHold is enterprise grade software. The Express version starts at a 5 user system, the Enterprise level can scale to thousands of uses and store millions of documents. The FileHold approach is to let customers choose their own cloud hosting facility, in the country of their choice, and determine their own levels of security.  FileHold software can be installed in a cloud hosting facility anywhere in the world.  The customer may use a hosting facility of their choice or FileHold can recommend a hosting partner that already works with FileHold software and has document management expertise and experience.  Once installed  in the cloud a customer can choose to move the system to an in-house server if circumstances change.  The cost of the FileHold software ranges from $12.00 to $15.00 per month per user depending on the number of users and optional features purchased.  The use of a hosting facility will have extra charges.  To get a detailed quote on FileHold only software or a combination of FileHold software and a 3rd party hosting facility contact sales@filehold.com.

There are worldwide Partners who host FileHold software and provide complete services often including document scanning, workflow set up, forms creation and consulting.

Software that is Always up, Always on

Hosting environments consist of an infrastructure of hardware, software, network, and storage resources.  These environments typically handle load balancing and resource management and automatically manage the life cycle of a hosted service based on defined requirements.  Many hosting environments offer a 99.% or greater monthly availability which ensures a highly available application without focusing on the infrastructure. It provides automatic OS and service patching, built in network load balancing and resiliency to hardware failure. It supports a deployment model that enables you to upgrade your application without downtime.

FileHold Cloud Partner Services

FileHold is happy to recommend hosting partners in various countries. To learn more about a hosting partner contact sales@filehold.com .  Our hosting partners are very skilled and take IT support seriously for the protection of your valuable documents.   The following is a partial list of the IT services our partners will provide.

  • Data backups are done to an off-site cloud location.
  • Monitoring: Every minute scans are done as per the following:
    • Disk Space: Thresholds are set to ensure a server’s disk space does not drop below a amount of available space.
    • RAM: Available RAM on the system has a threshold to ensure it is not above a certain level of RAM for a period of 5 minutes.
    • CPU: Available CPU on the system has a threshold to ensure it is not above a certain usage for a period of 5 minutes.
    • Physical Hardware: While your solution will be running on VMs, the hosting partner monitors all hardware that host your solution every minute. This includes, power, mother boards, fans, physical disks and temperature.
  • Support Tickets: if any monitoring sensor goes down, a support ticket is automatically generated and techs are notified. Resolution of any support tickets are included.
  • Monitoring of hardware and software resources every minute to ensure maximum uptime. If a system fails, a job is automatically added to the system with IMMEDIATE priority. This watches available disk space, CPU, RAM and other key performance resources.
  • Security Patch installations for the firewall in use upon notification from the hosting provider.
  • DNS and SSL certificate support.
  • Updates to all Microsoft Platforms done monthly.

Defining a Web or Cloud-based Document Management System

There are many different views of what a cloud installation means and FileHold is never sure what is meant when prospective customers ask about the cloud.

  • Do they want to know if FileHold can be accessed from anywhere there is access to the internet - the FileHold answer is YES.
  • Do they want to access document using a mobile devise - if so the FileHold answer is YES
  • Do they want to know if documents can be backed up or stored in a 3rd party storage space like Amazon - the FileHold answer is YES.
  • Do they want to know if FileHold can be installed in a 3rd party hosting facility such as RackSpace, - the FileHold answer is YES.

Because of security concerns most FileHold customers prefer to have FileHold installed on their own virtual or physical server but for customers who do not want to be involved in IT support FileHold has trusted partners who hosts FileHold, in a very secure environment and will manage and support all aspects of the installation.
