Software should be intuitive and easy to use for everyone. A good design and a simple user interface are key in gaining user acceptance. FileHold document management software has a friendly "Microsoft" look and feel and features standard functionality like "drag and drop".

The following are sample screenshots of various areas of functionality taken from the two standard user clients: The FileHold Desktop Application (FDA) and the Web Client. Both of these clients are included with every end user license of the document management software.

Library tree

The Library Tree

The Library Tree is shown in the left pane of the FileHold Desktop Client. It provides user access to the different personal search, workflow and main views of the library.

The Library is organized by Cabinet, Drawer, Folder Group (optional level), and Folder. Documents are stored in Folders. The Library Tree also displays My Favourites, Alerts, Reminders, Workflow activities, Searches, Virtual Folders, and the Library Archive.

Microsoft Office Integration with the DMS

Microsoft Office Application Integration

Users are able to access the software from the toolbar or file menu from within Microsoft Office applications (Word, Excel, Outlook, PowerPoint and Visio). You can add, checkout, browse, and send a document for review or feedback directly from Microsoft Office applications. The screen below shows how to add a document to FileHold directly from Excel. You have the ability to view the entire library tree, the contents of a folder, and the metadata required for the file in a single view.

In the Desktop Application, the folders are being shown using the Group By feature to group documents by their invoice type for fast viewing. You can customize your view for how you like to work.

Web Client version of the document management software

The following screenshot show the same view as described above but using the Web Client instead of the desktop application. In the Web Client, the documents in the folder are shown. The same information is displayed as in the Desktop Application.

Metadata and version properties of a document

Document Tags (Metadata) View

This screenshot shows the metadata associated with the highlighted file stored in the software. How a document is classified using metadata is customizable based on how the company has configured the file system to track documents.

The document properties are displayed below the metadata properties. Here, the document owner, version number, status, format, URL links, file type, library location, and file size can be viewed.

Advanced search and full-text search features both come standard with the FileHold software. The metadata fields the user can search from are customizable based on how the company has configured FileHold to track different types of documents. You can see that a number of rows of search criteria have been added together to build the scope of the search.

Workflow review and approval tasks

For each task, the Workflow details are displayed including the document it relates to the task description, the initiator, if the task has been delegated to the user and more.

Document Workflow Status Report

View the Workflow Status Report for all workflows that the user has either; initiated, is a participant or an observer. You can see the status of each task and activity in each workflow. The percentage completed, the comments or feedback documents provided by participants, the completion date, the due date, and status (reviewed or approved) is shown.
