FileHold viewers – Page manipulation and publishing

Pages in a document can be manipulated, such as adding, deleting, copying, dragging and dropping pages, rotating, and flipping, in all FileHold viewers, if permitted by an administrator. Enabling or disabling annotation mode is permitted in level 2 and 3 viewers.

For a complete list of functionality availability for each viewer, see FileHold Viewers. Your system administrator may have restricted page manipulation.

To use the FileHold viewer

  1. Using the contextual menu, select Open in FileHold Viewer on a document in a format supported by your viewer license. The document is opened with thumbnails displayed on the left side of the viewer. The currently selected page is displayed in the main part of the viewer. 
  2. To manipulate the pages, use the toolbar buttons to zoom in and out, navigate between pages, and close the viewer to return to the list of documents. See the table below for a complete list of functions and descriptions.

The availability of some functions below are dependent on which FileHold viewer level license is assigned to the user and which global settings have been set for using the viewer.

Publish document Publish icon

Add document as a PDF into the FileHold repository as a new document, as a new version, or save as a local copy of the document.

Also available from right-click menu on thumbnail.

Print Print icon

Prints the document.

Previous Page Previous page icon

Previous image is displayed in the document.

<page number> Page number FileHold viewer

Enter a page number to show the image.

Next Page Next page icon

Next image is displayed in the document.

Fit to Width Fit to width icon

Adjusts the image on the screen to fit the full width of the image.

Best Fit Best fit icon

Adjusts the image on the screen so the entire image is displayed.

Full Size Full size page icon

Shows the full image size.

Zoom In Zoom in icon

Zooms in on the image.

Zoom Out Zoom out icon

Zooms out from the image.

Edit Enable annotations

When enabled, viewer is in annotation mode and annotations can be applied to the document. Other users are blocked from annotating or checking out the document.

When disabled, viewer is not in annotation mode. Annotations cannot be made to the document and any existing annotations are read only. Other users may edit annotations.

Only available for L2 and L3 viewers.

Save Save annotations icon

Saves annotations to the markup layer.

Only available for L2 and L3 viewers.

Select text/area Select text icon

Allows the user to select text and/or an area on the page to annotate.

Only available for L2 and L3 viewers.

Previous annotation Previous annotation icon Displays the previous annotation on the document.
Next annotation Next annotation icon Displays the next annotation on the document.

Add pages Insert page icon

Adds one or many files before or after the selected page. Files can be added from a local file, clipboard, or the FileHold library (FDA only).

Also available from right-click menu on thumbnail.

Limited to PDF and image files for level 1 viewer.

Copy to clipboard Copy to clipboard icon

Copies selected pages to the clipboard.

Also available from right-click menu on thumbnail.

Once the page is copied, it can be added back into the document using Add Pages > Clipboard option.

Delete pages Delete page icon

Deletes the selected pages.

Also available from right-click menu on thumbnail.

Limited to PDF and image files for level 1 viewer.

Rotate Left Rotate counter clockwise icon

Rotates page(s) 90 degrees to the left.

Also available from right-click menu on thumbnail.

Limited to PDF and image files for level 1 viewer.

Rotate Right Rotate clockwise icon

Rotates page(s) 90 degrees to the right.

Also available from right-click menu on thumbnail.

Limited to PDF and image files for level 1 viewer.

Flip Horizontal Flip horizontal icon

Flips the page(s) horizontally.

Limited to PDF and image files for level 1 viewer.

Flip Vertical Flip vertical icon

Flips the page(s) vertically.

Limited to PDF and image files for level 1 viewer.

Close Viewer Close icon

Closes the viewer and returns to the folder.

Available in the Web Client only.

Copy text from screen

Select text from a text searchable document and right-click > Copy Copy to clipboard icon.

Select multiple pages

One or more pages can be selected in the thumbnail view. To select multiple pages, use the SHIFT and/or CTRL keys.

Drag and drop

One or many pages can be dragged and dropped into a new position in the thumbnail view.

Use the CTRL and/or SHIFT keys to select multiple pages.

3.    A context menu is available on the thumbnails for certain functions. Right-click on a page(s) in the thumbnail view to do one of the following:

  • Insert
  • Copy to clipboard
  • Delete page(s)
  • Rotate left
  • Rotate right
  • Flip horizontal
  • Flip vertical
  • Publish document

4.    Click Publish Publish icon or Save Save annotations icon to save changes.

Publishing a document from the FileHold viewer

To publish as a PDF document

  1. Click Publish Publish icon.
  2. Select one of the options:
  • Save this published version as a new local document - Saves the document to your local computer. Save or open the file to the local computer.
  • Save this published version as a new document in FileHold - Saves the document as a new document to the library as a PDF. If saving as a new document in the library, set the folder location for the document and fill out any related metadata and click Submit.
  • Create a new version of the file you are publishing – Creates a new version of the document. A new version is automatically created as a PDF.
  1. Click OK.
