
FileHold viewers – Comments
Comments are available in the levels 2 and 3 viewers. The comment feature allows users to comment on specific text or areas on a page. Comments can be viewed in the viewer comments pane .
The author of the comment is automatically set to the user’s name. Comments can be directed to other users using the @ symbol. Once the annotations are saved, email notifications are sent to the users that have been mentioned in the comments. Emails are sent according the user preferences. The link in the email directs the user to the comment in the document.
Comments can be sorted by page, author or date. They can also be expanded or collapsed in the pane.

A status can be applied to the comments after their creation: approved, cancelled, finished, or rejected. The colour and icon on the comment changes according to the status. The comment status can be modified by any users with sufficient permissions.
To create a comment
- Open a file in the FileHold viewer and click Edit
. The document is now in annotation mode. No other user can annotate or check out the document.
- Select text or an area on the page and click Comment
.
- In the Comment window, the Author name is set to your username.
- Enter any comments in the Message area.
- To direct a comment to a particular user, use the @ symbol and start to type a name to bring up a list of matching users. Select the user’s name from the list.
- Click Publish to save the comment.
- Click Save
in order to send notification emails for any users tagged in the comments.
- Click Edit
to exit annotation mode. You must exit annotation mode in order for other users to annotate the document.
To modify a comment
- In the Comments panel, click Edit
on a comment.
- Modify the message, as needed.
- To apply a status to the comment, select one of the following:
- Approved
- Canceled
- Finished
- Rejected
- Click Save to save the changes.
- Alternatively, click Delete to delete the comment.
To reply to a comment
- In the Comments panel, click Answer
on a comment.
- In the Answer window, enter any comments in the message area.
- Use @ to direct a comment to a specific user. Start to type a name to bring up a list of matching users. Select the user’s name from the list.
- Click Publish to save the comment.
- Click Save
in order to send notification emails for any users tagged in the comments.
- Click Edit
to exit annotation mode. You must exit annotation mode in order for other users to annotate the document.
