About SmartSoft Capture
SmartSoft Capture is a data capture software that automates the process of capturing form type information from documents such as invoices, purchase orders, cheque requests, payslips, and so on. It automates the recognition of scanned or existing image documents and validates the captured information. If the automatic data capture results do not satisfy the confidence levels, the data field is highlighted so that the user can confirm the information captured. As you continue to scan documents, the system is “trained” on where to find the information on a page. Manual intervention becomes minimal as the software learns to recognize your documents.
SmartSoft Capture does not require extensive training to use the product. Form templates define the form fields that automatically attempts to capture the information during scanning. There is a default form template for invoices that comes installed with the software but you can create as many form templates as needed. The setting and configuring of the form templates may require assistance from FileHold.
SmartSoft Capture can process images in a variety of ways:
- Directly from a scanner.
- Existing images files (PDF, BMP, JPG, JPEG, PNG, TIFF, or TIF).
- Watched folder for individuals. The software will “watch” a particular folder and bring in any new images for processing.
- Shared watched folder. Used for load balancing between users. For example, if you are using a network scanner that is scanning to a folder on the network and 2-3 users are “watching” that folder. Images will be distributed amongst the users.
- Email import. Emails from IMAP email server can be imported and processed.

For those customers who find that the text capture and extraction is not accurate enough, possibly due to the quality of their documents, you can upgrade to Capture Plus which uses a primary enhanced OCR engine (Nuance) and a secondary OCR engine (Tesseract) for maximum recognition quality.
