Watermark templates

Watermarks are text that can be applied to each page of a document to indicate a document state, protect, or make it harder to copy an item. Standard watermark templates can be created and used to apply to documents through the Document Assembly feature. Up to three watermark templates (top, bottom, center) can be applied through the document assembly feature.

Users can create their own custom watermarks using the Document Assembly feature.

In order to create watermark templates, a role of Library Administrator or higher is required and the FileHold server must be licensed with the workflow module.

To create a watermark template

  1. Go to the Administration panel > Library configuration > Watermark templates.
  2. Click Add.
  3. In the General tab, enter a Name for the template.
  4. Enter a Description for the template.
  5. The Is Active check box should be enabled in order to use the template. To disable the template, clear the check box.
  6. In the Details tab, design the watermark:
  • Select the Position: Top, Center -45°, Center, Center 45°, or Bottom
  • Select the Font style.
  • Select the text size in pixels Text icon.
  • Select a colour for the text Watermark text colour icon - Assemble documents. Select a colour from the colour picker or enter a Hex colour value.
  • Select a colour for the background Watermark background colour - Assemble documents. Select a colour from the colour picker or enter a Hex colour value. Click Watermark clear background icon - Assemble documents for a clear background.
  • Select a justification: full, left, center, or right.
  • Select an opacity in percent % Watermark opacity icon - Assemble documents.
  • Enter the content for the watermark. For example, “DRAFT – DO NOT COPY”. Tag fields can be used to insert certain FileHold content. See Using Tag Fields with Watermarks for more information.
  • Using the Margin area, determine the position for the watermark. The position of the watermark is relative to the margin, so if using “Top’ position it is the top margin, not the top of the page unless the margin is 0. Inches or centimeters (cm) can be used.
  1. Click Save.
  2. Assemble a document and select the template name in the Watermark tab.

To edit a watermark template

  1. Go to the Administration panel > Library configuration > Watermark templates.
  2. Do one of the following:
  • Double-click on a template name.
  • Select the check box next to the template name and click Edit.
  1. Make changes and click Save.

To delete a watermark template

  1. Go to the Administration panel > Library configuration > Watermark templates.
  2. Select the check box next to the template name and click Delete.
  3. At the message prompt, click OK.

How to manipulate the watermark template view

The watermark template list can be modified to add or remove columns, resize or change the order of the columns, sort ascending or descending, filter the results, and save these different views. The displayed information can be exported out of the system in order to do further analysis on watermarks.

Function

Description

Sort ascending/descending

Click on the column header to sort ascending or descending.

Alternatively, click Column header menu icon in the column header and select Sort Ascending or Sort Descending.

An up or down arrow shows in the column header indicating the sort order.

Add or remove columns

Click Column header menu icon in the column header and select Columns. Select the check boxes for the columns to be displayed. Clear the check boxes to remove the header.

Resize columns

Hover the cursor between the column headers to resize a column.

Filter

Click Column header menu icon in the column header and select Filter. Select the filter options and click Filter. The filter options available depend on what type of column is selected.

A white filter icon Column filter icon is shown in the header if the column is being filtered.

To clear the filter, go to Filter and click Clear.

Change column position

Drag and drop columns to the desired position.

Group by a column

Drag and drop a column header to top blue bar that says “Drag a column header and drop it here to group by that column”.

To remove the grouping, click the X next to the header name in the blue bar.

Save view settings

If the view is modified, the view can be saved for reuse. Click Settings > Save. Enter a view name and click OK.

To use a saved view, go to Settings > Saved Settings > <view name>.

To delete a saved view, go to Settings > Saved Settings > <view name > Delete.

To restore to the default view, go to Settings > Restore system default settings.

Scroll through pages

In the bottom left corner, use the scroll settings to:

  • Go to first page
  • Go to previous page
  • Go to next page
  • Go to last page

Adjust the number of items per page: 15, 30, 60

Refresh screen

Click Refresh in the bottom right corner.

Exporting the watermark templates list

The watermark template list can be exported out to a PDF, Excel, or CSV file.

Use the filters in the column headers to filter the list, sort ascending or descending, reposition columns, or group information as all templates on all pages are exported. See How to manipulate the Watermark template view for me information.

To export the watermark templates list

  1. Use the filters in the column headers, move column position, sort order, and grouping to manipulate the list. All users in the list are exported in the displayed view.
  2. Click Export and select one of the options: PDF, Excel, or CSV.
  3. Depending on the browser type, you are prompted to open or save the file.

Using merge tag fields with watermarks

Merge tags can be used with watermarks to insert information into the assembled PDF document. Information such as metadata field values, system information, and workflow information can be inserted as a watermark into the newly generated document.
