FileHold Search Features Find Your Documents Instantaneously

Thursday, June 18, 2015

Do you ever wonder why you can find any information you need on Google but you can’t immediately locate important documents in your own office?

A survey report from Information Week states that, "At any given time, between 3% and 5% of an organization’s files are lost or misplaced. The average cost of recreating a document is $180.00. Annual loses for a Fortune 1000 company with one million files is 5 million dollars."

There is the misconception that once documents are transferred from paper to electronic format, they can be easily located.  Although you may have reduced the amount of paper storage space in your office, the issue of being able to quickly find and retrieve your documents is far from being resolved. Without a document management system that features powerful search capabilities important files, in whatever format type, can still be lost or misfiled.

The FileHold search engine provides a fast and easy way to find documents which saves time and ultimately reduces cost.  The search engine can automatically recognize, index and search the contents of documents in a variety of formats such as PDF’s, MS Office documents, Jpeg’s and much more. There are several ways to conduct searches within FileHold:

FastFind – this optional search feature utilizes predefined hot-keys on your computer key board to search directly from any third party application directly into documents stored in FileHold.

Full Text Search – (aka Simple Search) this standard search feature allows users to perform general searches of various file types that are stored in the document repository.

Advanced Search – (aka Metadata Search) this standard search feature utilizes metadata fields associated with a document to quickly locate the file in the document management system.  This feature is particularly useful when users need to search for a specific document.

External Application – a quick saved search can be generated through an URL address from an external application.  Once the URL is clicked on, the search results are displayed in the Web Client.

By utilizing the many useful search feature capabilities in FileHold important documents such as invoices, contracts, resumes etc. can be found instantly and will never be lost or misfiled ever again.
