FileHold Screenshots

The following are sample screenshots of various areas of FileHold functionality taken from the three FileHold user clients; the FileHold Desktop Application, the FileHold Office client and the FileHold Web client. All 3 clients are included with every end user license of FileHold.

 

The FileHold Library Tree

When users first logon to FileHold the library tree appears on the left side. The library tree provides user access to the different personal search, workflow and main views of the library.

Accessing FileHold from MS Office Applications

Users are able to access the FileHold library from the toolbar or file menu from within the following Microsoft Office 2003 applications (Word, Excel, Outlook, PowerPoint and Visio). This screenshot shows the dialogue box that appears when users browse to select a document from within FileHold.

Document Folder View (FileHold Desktop Application)

In this screenshot you can see a close up view of a folder in FileHold. For each document you can see information such as the version number (Ver), the number of files the document is linked to, the status of the documen (if is checked out of the library or not).

 

Same Document Folder View (FileHold Web Client)

The following screenshot show the same view as described above but using the FileHold Web Client instead of the desktop application.

Document Tags (Metadata) View

This screenshot shows the metadata associated with the highlighted file stored in the Document Library. How a document is classified using metadata is customizable based on how the company has configured FileHold to track documents.

Document Viewer with Open CAD File
Docked and un-docked views

This screenshot shows a CAD file opened in the document viewer. The user is annotating the file using the markups and annotation features. CAD is just one of the many file formats supported by the document viewer. The user is also able to undock the viewer for easier viewing.

Document Search Using Metadata (tags)

This screenshot shows a user searching for a document using metadata associated with a document. Metadata search and full text search features both come standard with FileHold. The metadata fields the user can search from are customizable based on how the company has configured FileHold to track different types of documents. You can see that a number of rows of search criteria have been added together to build the scope of the search. The search results are displayed below.

Document Viewer - Redaction & Security options

This screenshot shows a word document being redacted to block out the word 'ACME' throughout the body of the document. The Redact By Phrase List feature was able to automatically find all instances of the word ACME in the document and redact it for the user. To ensure the redacted areas cannot be viewed when the file is distributed the user is saving the document in Content Sealed File format with security rights applied. In this case they are password protecting the file and setting it to automatically expire on a fixed date.

Publish Document As Adobe PDF

This screenshot shows how easy it is to publish a document to Adobe PDF (Portable Document Format). Simply right click on the document in a folder and click Publish As PDF. You do not need Adobe Acrobat installed on your computer. This feature works with all file formats supported by the document viewer including engineering / CAD formats.

This screenshot shows a users personal list of document review or approval workflow tasks that have been assigned to them.

This screenshot shows a users personal workflow status report for all workflows that the user has either initiated, is a participant in or is an observer of.
