FileScan Bridge Document Imaging & Scanning Systems Overview


This section outlines the features provided by FileScan Bridge to ensure the reliable and efficient collection and transfer of documents - scanned & tagged by scanning and capture systems (including FileHold Scanning solution, Kofax Ascent Capture or multi-function centers) into the secured FileHold library.

The following features are provided with the out of the box with FileScan Bridge;


Automated Tagging of Scanned Documents – Document tagging is the process by which metadata is associated with documents in attempts to further classify them for subsequent retrieval. FileScan Bridge uses the metadata captured from scanning stations to tag documents before they are sent to the FileHold library for storage. It does this while still adhering to the document tagging classifications standards as centrally managed by the FileHold document management library for all documents. This allows companies to take full advantage of all features provided by document management and scanning systems that help automate the tagging process such as zonal OCR and barcode recognition.

 

Automatic Filing of Scanned Documents – FileHold can automatically detect where a document should be filed in the FileHold library based on the metadata associated with the file thereby removing the burden of filing for the scan operator. Files can also be automatically sent to a single, pre-defined folder on the FileHold library for further processing.


Automated Full Text Indexing & Searching of Scanned Documents
– Full text indexing enables users to search for a word or phrase inside the body of a document when its stored in the library. Optical Character Recognition features of third party systems can convert scanned paper files into text editable, searchable, electronic documents. FileScan Bridge will automatically recognize this text and add it to the FileHold search index making it instantly searchable in the FileHold Library using FileHold’s Full Text Search engine capabilities.

Distributed Scanning Support - Scan From Anywhere in the World – FileHold supports distributed scanning environments allowing scanning to occur from scan stations located anywhere in the world. Scanned documents are automatically sent from FileScan Bridge at the scan station to the central FileHold Document Management Library over the web without need for being on the same network, domain, office, LAN or WAN. FileScan Bridge is designed for the safe, reliable, simultaneous transfer of very large files to the FileHold Library.


Scanning Process Job Automation
– FileScan Bridge keeps paper flowing from the scanner into the FileHold library by constantly monitoring for new scanned documents, automatically tagging scanned files and automatically sending these files to a destination in the FileHold library. FileScan can be configured to handle different types of batches - such as batches of scanned invoices, purchase orders or checks – differently.


Scanning Logging & Reporting
– FileHold’s robust error logging and tracking of all scanned documents ensure failsafe delivery of documents from scanning stations to the FileHold Library.
