a Controlled Tagging Vocabulary.
- FileHold supports the custom creation of unique document types to
be stored in the system based on the needs of the company. Examples
of different document types include invoices, purchase orders, contracts
and expense reports.
- Within a document type definition a unique metadata profile can
then be created. Library administrators can require specific metadata
fields to be required to be completed when adding a document to the
library. Metadata fields can be populated with text entry, checkboxes,
or pick lists.
- For example the invoice schema may have "Approved by",
"Location", "Date Range", "Company Department",
and "Vendor Name" as metadata fields that users are required
to populate when invoices are entered into FileHold. This process
takes just a few seconds.
- By entering this information, searches can be optimized for future
retrieval by allowing the user to search using these pre-defined tags.
Document tagging dramatically improves search accuracy. The controlled
vocabulary used by the library administrator is completely customizable
for your specific industry.
