The following is a list of new or improved features that are part of
the FileHold '08 release. the next release of FileHold document
and record lifecycle management software.
FileHold 08 introduces an optional document viewer providing all in one viewing, markup, redaction, annotation, watermarking, printing and publishing of documents stored in and out of the FileHold library. FileHold document viewer features include;
1.1. Support for Over 150 File Formats – Supports viewing of over 150 CAD, image and document formats, including Microsoft Office, PDF, and 45 EDA \ ECAD\ PCB formats. Additional features for CAD file formats include support for layers, management of object attributes, measurements with geometry snapping and printing to scale.
1.2. Document Printing and Watermarking – Print
virtually any native format, from Microsoft Word and PDF to AutoCAD
and MicroStation using the integrated document viewer. Apply template
or custom watermarks to documents prior to publishing, distribution
or printing.
1.3. One Click Publishing to Adobe
PDF, TIFF or Autodesk DWF – Publish any files stored
in the FileHold library to Adobe PDF, Tagged Image File Format (TIFF),
Autodesk Design Web Format (DWF) or Content Sealed Format (CSF) in one
simple click.
1.4. Document Markup and Annotation
- The viewer supports all the markup tools you need when marking up
and annotating documents. Markups are saved as separate XML overlays,
so the original document is never touched. Markups can be burned in
at publish time for easy, secure distribution.
1.5. Document Redaction
- Document Redaction allows you to securely hide and password protect
sensitive document (words, pictures or pages or anything else) from
view and text search. Redaction layers are saved as separate XML overlays
so the original document is never touched. Redacted areas can be burned
in (to PDF, or CSF) at publish time for easy, secure distribution.
1.6. Measurement Tools - Measurement tools supported include measurement takeoff count, auto-scaled calibration, line, rectangle, and polygon/area measurements and snap to drawing surface tools.
With Smart Check Out if a user opens a document and begins to make edits to it without checking it out of the library FileHold prompts them to do so the first time they save. With Smart Check In if the user saves or closes their document without checking it back into the library FileHold prompts them to do so. Smart Check Out / In makes versioning easier and faster for all users, ensures version history for a document is maintained, prevents files from being orphaned on user desktops and ensures the FileHold library is the ‘single version of the truth’ for all your corporate files.
In FileHold ‘07 the extent to which a user can access (read,
add, edit, delete) documents in the FileHold library is based on the
Role (Read only, Publisher etc) the user is associated with as set globally
by the system administrator. With FileHold ‘08 system and library
administrators can now assign access rights (roles) for users at the
cabinet or folder level overriding the rights inherited from the global
setting or parent cabinets (in the case when roles are assigned at the
folder level). This means that a user can have different levels of access
to documents in different folders in the same cabinet introducing far
greater flexibility and control when managing document security in the
FileHold library. This improvement enhances FileHold’s existing
ability to restrict users from accessing document in any folder as managed
by cabinet and folder memberships.
Microsoft Outlook 2003 integration has been significantly improved
as users are now able to drag and drop multiple emails (with attachments)
from Outlook to the FileHold Desktop Application for quick addition
to the FileHold library.
FileHold can now synchronize files stored on your local computer with
files in the FileHold library. It does this by comparing if the versions
of files on your local machine are more recent or older than the ones
stored in the FileHold Library. Synchronization can be used to automatically
get newer versions of files from the library, check in all files the
user has updated locally back to the FileHold library or remove any
local files that are duplicates in the library.
The FileHold Desktop Application has undergone a complete user interface
transformation making it easier and faster for all users needing to
add, search for or access corporate documents from the FileHold library.
Users can now quickly group files in any folder using any of the metadata
fields displayed in the folder. Once grouped files can then be quickly
sorted using the columns displayed.
