The Document Management Software Licensing Model

A simple and effective pricing strategy that ensures the cost per user gets lower as the number of users increase.  A one time license fee with no additional charges, ever, for the volume of documents scanned or added to the system.

Document Management Software Solutions for Small or Large Organizations

Express: is designed for small organizations (maximum of 20 users) has a simple and packaged price structure. Read more and learn the pricing in the FileHold Express datasheet.

Enterprise: is designed for large organizations who have many different kinds of users and different user needs.  Licensing is based on both Concurrent Sessions and Registered Users of the system.  Enterprise has the following CORE licensing components:

• The “FileHold Server”: no matter how many users there is a fixed onetime licensing fee for the document management Server

• "Registered users” or “seats”: unique individuals who have a user ID a Password and are given a user role. Each individual user of the system must be a registered user.

• “Concurrent sessions”: This license controls the number of users who access the server at the same time (concurrently). At least one is required.

"Concurrent Licenses" in the Document Management System

"Concurrent licensing " is a familiar term but it can have different meanings.  The purpose of this section is to provide clarification and how concurrent sessions is used in the pricing model.  Licensing can be thought of like a business telephone system, in both cases there are three components required:

1. The system requires a central switch.  This can be compared to the "Server Software" which is a onetime charge.

2. Each person gets their own telephone handset that can be personalized (different color and features). This is like the "Registered User" license that gives the user a unique ID and Password and can be personalized ("read only" or allowed to "publish or delete").

3. Some number of lines are needed that will accommodate the amount of time the telephones will be used at the same time (concurrently). These are the "Concurrent Sessions". 

Unlike the telephone system there are no usage charges after purchase. There are no additional fees for the number of documents stored in the system or the amount of time it is used.

Document Management Hosted Solutions (ASP model SaaS)

FileHold does not directly offer a document management hosted solution but we do recognize that this business model is attractive to many companies.   We have several business partners who host the document management software for their clients. We can refer prospective buyers to these hosting partners or help set up a hosted dedicated server system. 

Arrangements have been made to set up the document management software in large 3rd party hosting agency such as Rackspace.
