Workflow Document Management Software: How to View the Workflow Status Reports
What is the workflow status report?
The workflow status report shows the status of all workflows that the
user is the initiator of, a participant in or an observer of. The report
shows the status of each workflow and each activity and task in the workflow
if the workflow is in progress, has been cancelled or has been completed.
How can I access the workflow status report?
Users can access the workflow status report by clicking on the Reviews
& Approvals > Status Report menu option from the library tree.
What information is shown for the report?
The first level show information for the workflow instance itself. Information
includes the type of workflow (the workflow template name), the name and
version of the document, who the initiator is, when the workflow started
and when it is due and if the workflow resulted in the document being
approved or not. By expanding the workflow node you can see the status
of all activities and tasks for this particular workflow instance. Here
you can see the task details including the type of activity (review or
approval) it is associated with, the activity order, participants, status
and any comments or feedback documents associated with the task as tasks
are completed. The following screenshot shows the workflow status report
with a workflow instance expanded to reveal its tasks and activities.

How can I view comments associated with a workflow?
To the view comments that a participant posted as they completed a task
simply click on comments link associated with the task they want to view
comments for. The detailed comments view will appear for that participant
and task. The below screenshot is an example of the detailed comments
view for an individual task.

How can I download a feedback document posted by
a participant as they completed their task?
To view a feedback document that a participant has posted as they completed
a task simply click on the save file icon in the attachments column associated
with the task they want to download the attachment for. You will be prompted
to download or save the document.
How can I cancel a workflow or override a workflow
activity or task?
Refer to the help article on managing
workflow instances to learn more about how to cancel a workflow that
is in progress or to override an existing workflow activity or task from
your status report.
How do I remove the completed or cancelled workflow
instances from my status report?
To remove the cancelled or completed workflows from the status report
simply click the 'Clear Cancelled' or 'Clear Completed' options from the
toolbar above the status report.
