Workflow Document Management Software: Document Workflow Review Activity Overview



What is the Document Reivew Workflow Activity?

Along with the document approval activity, the document review activity ships as part of FileHold workflow. The review activity is designed to facilitate the collection of comments and feedback on a document from other system users. This activity can be used alongside one or more review or approval activities as part of an workflow template or when initiating ad-hoc workflows. The review activity must be included in a workflow and cannot be used stand-alone.

Unlike the approval activity the review activity does not have the same rules for activity termination. The review approval activity is considered complete once all participants have completed the task of reviewing the document and providing comments and or feedback documents.

The following diagram provides an overview of the review activity. For purposes of clarity this diagram assumes that the activity is included in a workflow and the workflow wrapper is not shown.


  1. Once a review activity begins document tasks are automatically routed to the participants and appear in their personal task list. Email notification alert users when they are assigned a new task of reviewing a document. The activity starts if it is the first activity in a workflow or when the previous activity is completed.
  2. As the activity progresses participants complete their review tasks by providing comments and / or attaching feedback files to the document being reviewed. All comments and feedback files are routed back to the initiator so they get the feedback they need to continue working on the document.
  3. Once all participants complete all of their review tasks the activity is completed. The next activity in the workflow will then begin. If this is the last activity in the workflow the workflow will be marked as complete.
