Document Management: What is the FileHold Toolbar?

Users are able to perform a variety of batch actions when viewing lists of files in folders, search results, linked document lists or the document tray. All possible batch actions can be seen in the FileHold toolbar at the top of the list.



Actions are by first selecting the file and clicking on the appropriate action. Selecting a file occurs by either highlighting the file – when accessing FileHold using the FileHold Desktop Application - or by placing a checkmark beside the files you want to perform an action on – when accessing FileHold using a web browser. The following actions can be performed on one or more files at a time.

The availability of actions is dependent on the rights that users has and where the documents that the user reside.

Action / Function What the function does Who can access the function
Get a Copy Makes a copy of the selected documents to the users local machine. All user roles
Check Out Check documents out of FileHold for editing using version control. For more information on how version control works see the Document Control FAQ. Users with Publisher or higher access to the library.
Edit Metadata Allows the user to edit the metadata associated with the selected file(s) Users with Publisher or higher access to the library.
Link Creates a link between 2 or more selected files. For more information on linking see the document linking FAQ. Users with Publisher or higher access to the library.
Move / Copy Moves or copies the selected documents to other folders. Users with Publisher or higher access to the library.
Email Emails the documents to selected list of users. Once selected the email form will appear.

This email function uses a built in email client.

Delete

Deletes the selected documents

Users with Publisher + Delete access rights or higher
Add to Tray Adds the selected documents to the document tray. All user roles
Add to Virtual Folder Adds the selected documents to a virtual folder. All user roles
