Document Management: What are the different actions I can perform on Files?

Users are able to perform a variety of actions on individual file versions. Actions are accessible from the contextual menu associated with a document by either right clicking on the document name - if accessing FileHold using the FileHold Desktop Application - or left clicking on the down arrow associated with the file – if accessing FileHold using a web browser.

The following actions can be performed on one or more files at a time. The availability of actions is dependent on the rights that users has.


Action / Function What the function does Who can access the function
Metadata & File Properties Displays the Metadata and file properties for a file . All users with access to the folder the document belongs to
Check In Check documents back into FileHold as a new document version. For more information on how version control works see the Document Control FAQ. Only the user that has checked document out of library OR the library / system administrator
View Linked Documents Displays all documents that are linked to the selected document. All users with access to the folder the document belongs to
Alert Me of Changes Subscribes the user to be alerted when actions are performed on the File by other users.

Events that can be tracked to will trigger an alert include if a new version of the document is checked in OR if the metadata associated with the file is changed.

You can remove this File alert from the My FileHold > Document alerts page OR by selecting the 'Disable This Alert' option from the file contextual menu.

All users with access to the folder the document belongs to
Disable This Alert
Cancels the subscription to the file. The user will no longer be updated of new versions of the file.

Note this option will only be available if the user is currently subscribed to the file to be alerted of changes.

Set A Reminder
Allows the user to schedule a reminder for the document All users with access to the folder the document belongs to
Create Shortcut In Folder

Allows the user to create a shortcut to this document in another folder.

Users with Publisher access rights or higher that have access to the folder the document belongs to
History of Changes Displays the usage logs for the selected document including.

All versions of the document.

Actions that users have taken on the document by document version.

Edits to the document Metadata by document version.

All users with access to the folder the document belongs to
