Cabinets within the File Structure

In order for a user to see a cabinet they must be a member of the cabinet. Only members of cabinets can see and access its content. In order to manage the access to a particular cabinet, the owner of the cabinet can add and remove member access and permissions.

The menu may be accessed by either right clicking on the cabinet name if accessing FileHold using the desktop document management software application (FDA) or by left clicking on the down arrow that appears when the cursor rests on the cabinet name if accessing the document management system using the web client interface. 

Note: In order for a user to see a cabinet they must be a member of the cabinet. The following actions can be performed on Cabinets. The availability of actions is dependent on the rights that users have to the system.

Expands the Cabinet revealing drawers.

Search

 

Allows users to restrict their search to documents located in the selected cabinet.

Properties

Displays Cabinet Properties. Cabinet membership can be managed from this feature.

Manage Folder Groups 

Allows for the management of folder Groups that belong to the cabinet.

Library Administrators, System administrators or Cabinet Organizers only.

 

Add Drawer

Adds a drawer to the cabinet.

Library Administrators, System administrators or Cabinet Organizers only.

 

Copy Cabinet

 

Makes copies of the cabinet including all drawers, folder groups, folders and  documents that are filed.

 

Library Administrators, System administrators or Cabinet Organizers only.

 

Clone Cabinet Structure

Makes a copy of the cabinet and all drawers, folder groups and folders it contains.

Does not copy documents in the source cabinet.

Delete Cabinet

Deletes the cabinet and all items it contains.

Library Administrators, System administrators or Cabinet Organizers only.

 

Archive Cabinet Send the contents of the Cabinet to the Library Archive.

Library Administrators and System Administrators.

Export

Exports all documents in the folders contained in the Folder Group. All users with access to the Cabinet that the Folder Group belongs to.
