What are the Differerent Pre-defined User Roles?

Through the use of FileHold groups users can be associated with up to 5 different system roles, each with different access rights to the system. There is also the ability to have FileHold consulting create customized roles that provide very specific capabilities above and beyond this. Contact sales@filehold.com for more information.

These 5 pre-built FileHold roles are as follows;

  • Read Only Role - users associated with this role have Read only access to documents; they cannot add documents to the library check out documents or update existing documents or metadata. They can search or browse for documents and get electronic copies of the latest version of the document. They will not see buttons or interface elements that pertain to higher access roles.
  • Publisher Role - users associated with this role have Read, Add Document abilities, as well as the ability to Checkout Documents; in addition they can update system defined metadata / index fields.
  • Publisher Plus Delete Role – users associated with this role have the same rights as publisher but also with the ability to delete files. Please be careful about who should have the ability to delete documents.
  • Library Administrator Role – users associated with this role have full access to all documents and administrative rights to manage the library structure and metadata services.
  • System Administrator Role - users associated with this role have full access to all documents and library system functionality including the ability to manage users and group permissions.
  • Guest User Role - A guest user has the same rights as a read-only use with one difference. Only a single user can access FileHold at a time using a read only user account. More than one person at a time can access FileHold using a guest user account. The idea is that guest accounts (eg. username guest, password guest) could be created and sent out to any number of trusted parties that don't need to access the system all that frequently. Guest accounts are typically used in portal situations.

You can view the roles associated with a FileHold group by viewing the group properties. The below screen shot shows the group properties when adding a new FileHold gorup.
