Guest User Accounts in the Document Management System

Guest user accounts allow internal or external users to access documents in your repository such as newsletters, forms, or corporate policies without having the need to purchase a registered user license.

Guest user accounts are ideal for casual employees, external personnel, partners, or vendors that are not part of your internal network but that may require access to specific documents or areas in the library.

Guest users all share the same username and password and are given read-only access to the documents. With a guest user account, more than one user can access the library at the same time (concurrent license). Guest account users can only view and access the documents in the library to which they have been given permission.

To access the document management repository as a guest user:

• Have guest users login using the guest username and password through the document management repository Web Client link.

• Have guest users automatically login to a Self-Service Portal without having the need to enter a username and password.

Purchasing Guest User Account Licenses

If you have users that require access to your repository such as casual employees, external personnel, partners, or vendors but do not require a full registered user license, you can purchase guest user licenses in order for them to access documents through the Web Client or the Self-Service Portal.

Guest user account licenses are sold in packs of 50. You can purchase as many packs of guest user accounts as needed. Guest user account licenses are “concurrent” licenses which mean all 50 licenses can be used to access the document management system or the Self-Service Portal at the same time.

In addition to purchasing the 50 guest user license pack, you must also purchase a “named alias” account. This named alias is the username and password that is used to login into the system. Only one username and password is used for all guest user licenses. You can only have one named alias account.
