Application Administration


The Application Administration function allows the administrator to configure global settings for Contacts and Workflow.


Workgroup Creation Options

The Workgroup Creation command allows you to set whether users have permission to create shared Workgroups. This does not control permissions for Private Workgroups. All users can create Private Workgroups. See the section on Managing Workgroups for additional information

  1. From the Preferences drop-down field, select Application Administration.
  2. In the Navigation menu under Contact Directory, select Workgroup Creation to open the Workgroup Creation form.
  3. Check the Allow all Users Access check box, to grant users permission to create shared workgroups, and then click the Update button.

Business Category

Business Categories can be used in the Contact Directory to enable users to search or group companies by type. Six default Category Names are installed with Synergy. Additional Categories can be created as required.

  1. From the Preferences drop-down field, select Application Administration.
  2. In the Navigation menu under Contact Directory, select Business Categories. A list of currently defined Business Categories will be displayed in the Content frame.
  3. Click the Add button to open the Add New Category form.
  4. Enter the Category name and Description, and then click the Enter button.

Project Template

Project Templates provide owners of a Project a default template from which to build their Project. The Project Template module allows you to edit existing templates or add new ones.

  1. From the Preferences drop-down field, select Application Administration.
  2. In the Navigation menu under Project Manager, select Project Template. A list of current Templates will be displayed in the Content frame.
  3. To edit a template, click the name of the template. Make the required modifications, and then click the Update button.
  4. To delete the template, click the name of the template. Click the Delete button.
  5. To add a template, click the Add button to open the Add Project Template form.

Field Descriptions:
Project Template Name: the name of the template.
Description: descriptive explanation of the Project Template Name.

  1. Enter the required information, and then click the Enter button. The template will now be displayed in the Template List.
  2. The next step is to add the task definitions. To do this click on the name of the task to open the Edit Project Template form.
  3. Click the Edit Default Tasks link to open the Edit Default Tasks form.
  4. Enter the tasks, and then click the Update button.

Field Definitions:
Default Tasks: description of a basic task that is intrinsic to the type of project covered by the Project Template Name.
To Start: default number of days between the current date (project creation date) and the start of the task. For example, on average, a task will begin "X" number of days after the project is created. Values must be between 0 and 365, inclusive.
To End: default number of days between the current date (task creation date) and the end of the task. Values must be between 1 and 365, inclusive. To Start + number of days to completion of task = To End (e.g., if on average, this type of task takes 12 days to complete and the To Start value is 15, then the To End value must be 27).
Expected Person Hours: total number of person hours expected to be spent on the task. The number of days required to complete a task measures calendar days, while the Expected Person Hours value measures actual time spent on the task.


Project Settings

The colored icons associated with each project item act as a visual flags for the project members. The icon time frame can be customized through the Project Settings.

  1. From the Preferences drop-down field, select Application Administration.
  2. In the Navigation menu under Project Manager, select Project Settings to open the Project Icon Preferences form.
  3. Enter the desired day settings, and then click the Update button.

Field Definitions:

Up to X days before the End date: sets a specific number of days before the project deadline. The default setting is eight (8) days (green), i.e., more than a week before the project deadline.
Up to X days before the End date: sets a specific number of days before the project deadline. The default setting is one (1) day (yellow), i.e., less than a week before the project deadline.
The End date and After: represents an Open Project which has already reached a deadline (red).
Closed Projects: represents a Closed Project.
