Editing a Document Profile


Document Profiles can be edited at any time.


Editing Data Types

Changes to a field in the Document Profile, such as the name of the field, will not affect any data currently stored within this field. However, changing the Data Type of the field may affect the data. For example, if the data type is converted from a text (500) to a text (50), fields that currently contain greater then 50 characters will be truncated.


Depending on the original data type, a conversion may not be possible. For example, converting from a text (500) to a Yes/No field will result in conversion problems. In this case you will be notified that any previous data within the field will be lost.


If a field in the Profile is defined as a Drop-Down menu, it is not possible to change the underlying drop-down menu. The field must first be deleted and then a new field created with the new drop-down menu. Deleting the original drop-down field will result in the loss of all document data captured for this field.

  1. From the Preferences drop-down field, select Library Administrator.
  2. From the Navigation menu, under Document Profiles, select Manage Profiles.
  3. In the Content frame, click the name of the Profile to open the Edit Document Profile form.
  4. If you want to remove or edit a field from the Active Profile Fields, click the name of the field. This will open the Edit Custom Field form. To delete a field click the Delete button. To edit the field, make any modifications and then click the Update button.
  5. Make the required modifications and then click the Update button.
